Regular Board Meeting Tuesday, June 16, 2020
*6:15 p.m. Chair Barbara Melvin called the meeting to order. Due to reducing transmission of COVID-19, participants were offered an On-Demand conference calling option.
Roll Call - Present at the meeting:
Members: Barbara Melvin, Georgia Everson, Gwendolyn Hatfield, Gail Muller, Carol Persons, Donna Niles, Kimberly Walker, and Librarian Rachel Clift.
Joining by conference calling: One unidentified caller.
*Verification of posting at the Bank, Post Office, and Village Office on June 15, 2020 was given.
*Hatfield moved, Muller seconded to approve the minutes from the May 19, 2020 meeting. (Carried).
*Financial report: Reviewed the report from 1/1/2020 thru 6/15/2020. The remaining balance is $62,361.78. Of this amount, $2,092.84 is resource grant funds, $564.63 Gates grant funds, and $1,184.50 CROPP grant funds. This leaves an operating budget of $58,519.81. The savings account has $17,355.27, plus the 2 CD’s of $3,912.13 and $9,486.07. Niles moved, Everson seconded to approve the financial report. (Carried).
*Statistical Report: Reviewed circulation stats from WRLS. It shows what we check in and out, renewal items, and circ holds. Rachel also had a sheet showing stats from 6-1 to 6-16 on the number of patrons entering the library, how many used the computer, and curbside pickup requests.
**The village board has allowed “Music in the Park”, with some stipulations to follow. Carol has been contacting the groups to see if they are interested.
**The sink in the smaller bathroom is not working correctly. The automatic sensor comes on, runs about 2 seconds, goes off and will not turn back on. Kim will check with Wayne Haugrud on getting this fixed.
**Thru WRLS, we are to receive a $2,024.46 CARES grant. Looking at laptops for patrons to check out.
**We are also to get a grant for an outdoor access point, so Wi-Fi will be stronger outside the building.
**Getting new material in. Still can’t request anything from WISCAT, but able to borrow from WRLS.
**Automatic hold notices are going online soon. But no overdue notices yet.
**Re-opening update report: Rachel reported it’s been steady. She and Becky put together an informational guidelines sheet for the volunteers, which she reviewed. They have signs up with CDC recommendations. It was asked about having a thermometer in case a person doesn’t look well, but the board wasn’t comfortable with this. Masks have been popular. They are kept on hand for patron’s use. People have been super receptive and there’s been no issues so far. Functioning very well. It’s going good with 5 people coming in at this point, with the space that’s open in the building. We may be in this phase for a while, and Rachel asked what the next steps are. The next level will be increasing the number of people and opening the restrooms. Not ready to open the stacks yet for people to browse. Need to watch the Covid numbers and follow WRLS guidelines.
**Summer Library Program update: The theme is “Imagine Your Story” and runs July 1st to August 28th. Hoping to have an end of summer reading party outside on August 29th, but it depends on a downtrend in Covid-19 cases. The program is divided into 3 age groups, and tickets are earned to be redeemed for prizes in the end. Rachel has the “Beanstacks” program on the website completed, submitted, and approved. There is also a paper version for people that don’t want to go online. Organic Valley has donated items for prizes. Rachel also filled out a form online for $100 from them and waiting to hear on that. The Friends group has been asked for a donation, too.
**Memorial discussion for Delores Sandmire: She served on the library board as chair for many years. Around $1,000 in memorials was given in her name. Before calling the meeting to order tonight, the board looked at the different shrubs that need replaced outside the building. The board felt this was a good memorial to replace these along the back side and add a few plants around the patio area. Will also have a plaque made and either put it on the building or have one standing up. This will be a nice memorial for her. Hatfield moved, Persons seconded to dedicate the East side to her, to buy some shrubs/flowers and purchase a plaque. (Carried). On June 22nd, will meet at 9 a.m. to remove the old/dead shrubs. Check with Wayne if the village workers can haul them away in the afternoon. Then July 7th, at 9 a.m., whoever can meet at the library, will get together and go pick out plants.
*Public comments: Carol thanked Rachel for attending the village board meeting last week, so the village board could meet her. Donna appreciated her patience dealing with the volunteers, and she in turn thanked them for the help they give her. Gwen, Barb, and others that brought in masks and wipes were thanked.
*The next regular meeting was scheduled for August 18, 2020, at 6:15 p.m.
